How To Limit Access To A Flow

Depending on what information you want to capture in a Flow, you might only want it to be available to specific people within your church. For instance, you may want to limit an I'm New Flow to just visitors. Or you may want to limit a Volunteer Sign-up Flow to regular attenders or members of your church.

Let's take a look at how to adjust the privacy controls for a Flow.

How to adjust a Flow's privacy controls

1. While managing a specific Flow, click on Privacy Controls.


2. By default, any Flow will be set to Anyone (Public). To limit the access to a Flow, select Only people in our church (Private).


3. Now you can select one or multiple Connection Types in your church. (To learn more about Connection Types, see below.)


4. Once you're happy with your selection, click the Save Changes button.


5. If you're ready to go live with your changes, click the Publish Changes button.


Now, only if you are logged in and match the specific Connection Type criteria for the Flow will you be able to access this specific Flow.

If they are not signed in, they will see the Sign-in Required status page.


If they are signed in, but do not meet the Connection Type privacy settings, they will see the Unauthorized status page.

Note on Connection Types

Connection Types are the various ways people can be associated with your church, denoting a specific relationship they have. Each Connection Type is a special list that people can be added to, which is helpful for categorizing, but also for other aspects within Nucleus, such as for allowing only certain people to access specific Flows.

Note:
  • Connection Types can only be set by Admins, not by people themselves when viewing their My Nucleus account.

Let's quickly look at how to establish someone's Connection Type:

1. While in your Flows app, click on People. Here, you'll see a list of all the people who have ever completed a Flow.

  • You can also go to the Results of a specific Flow and click on People there.

2. Click View on a profile you wish to manage their Connection Type.


3. Click Connection Type to reveal a dropdown menu with all the current possible Connection Types.

Note:
  • You can add/edit/manage multiple Connection Types in your overall Church Settings. Click here to quickly access that.

4.  Select a Connect Type. This will be saved automatically.


Once you've set a Connect Type for someone, if they try to access a Flow with privacy settings that do not match the Connection Type they have been assigned, they will no longer be able to view that Flow.
