Manually Add An Offline / Physical Gift

Being an online digital giving platform, Nucleus Giving obviously helps you receive online donations and keep track of those gifts. But did you know Nucleus Giving allows you to also keep track of offline and physical donations? With this functionality, you can keep track of all your donations in one place.

Add An Offline Gift In Your Transactions Panel

There are two places where you can manually add an offline gift to your records. The first is in your Transactions Panel in your Giving. Click here for a quick link.

Once you're in the transactions panel, click the + Add New button. Then type in the name of a person and select the name from the options that appear.

If the person doesn’t yet exist in your database, you’ll need to first create a record for them. To do this click the + or, Add A New Person button.

You can add a name, email, phone number, postal address & connection type but all that’s required is a first and last name.

Once you've either created a record for the person or searched them in your database, the next step is to enter the transaction details. Add the amount, date, fund, method & memo field (memo field is optional).

Note: For Canadian churches, you can select “other” to represent EFT transactions if you’d like to keep track of those alongside credit card donations.

Finally, click the Save and add now button and you should be all set 😎👍

All recent manually added gifts will appear at the bottom to help you keep track in case you’re adding multiple gifts in one sitting.

If you go back to your Transactions Panel, you will find the gift in the midst of all your other online donations, according to the “Date Given” (not the date it was added).


Add An Offline Gift Directly In A Person’s Record

The second place you can add a gift is directly in a person’s record in Nucleus Giving.

To begin, go to your People in your Giving. Click here for a quick link.

Then find the person that you wish to add an offline gift to their record and click on their name or click View Profile.

Once in their profile, select Gift Entry and enter the transaction details. 

Add the amount, date, fund, method & memo field (memo filed is optional).

Note: For Canadian churches, you can select “other” to represent EFT transactions if you’d like to keep track of those alongside credit card donations.

Once you've done that, click the Save and add now button and you're all set 😎👍

All recently manually added gifts will appear at the bottom to help you keep track in case you’re adding multiple gifts in one sitting.

If you click on Offline Giving, you will find the entire list of all their offline donations that have been manually added to their record.


Special Notes For Offline Donations

For the most part, offline donations behave just like online donations, but there are a few notes we should mention to help you manage your giving data to the best of your ability.

Offline Donations Can Be Deleted

Just like you can manually add offline gifts, they can also be deleted. This is particularly helpful if an admin makes a mistake when initially entering in the gift’s information.

If, while viewing a donation’s details, you see an option to delete it, you know right away that it is a manually added donation, not a digitally given one.

To delete an offline gift, find the gift and click to view its details.

Click on Actions, and in the dropdown menu, select Delete Transaction.

Choose Yes, Delete Now.

Deleting donations cannot be undone, so make sure you’re truly ready to delete any donation before taking that action.

Offline Donations Only Have One Status

While digital gifts can display various different statuses, offline donations will only show a status of successful.

This is because our system will have no way of knowing whether or not that donation actually made its way to your church’s bank account or not.

This means manually added gifts will never say paid out, which is helpful to point out in case you’re wondering why it’s taking so long for a donation to be paid out. It could be that it was just manually added.

Offline Gifts Aren’t Deposited On Their Own

In the same train of thought, this is a reminder that cash and checks aren’t automatically deposited on their own. Nucleus Giving focuses on digital donations, while letting you keep track of offline donations. Our card processor is only responsible for depositing digital transactions, so just don’t forget to also take a trip to the bank every now and then. (You’d be surprised at how many times we’ve been asked why checks that have been input into the system haven’t been cashed yet 😅)

Offline Gifts Appear On Annual Tax Statements

Alongside other digital donations that someone may have given throughout the year, any offline donations that you enter for each person will also appear on their annual tax statement that Nucleus generates. This helps keep things simple with only generating a single annual tax statement, instead of needing to provide multiple statements per person.
