Adjust A Flow's Privacy Controls & Status Pages
Though you'll likely want the majority of your Flows to be publicly available, there may be times where you create a specific Flow that you want only certain people to be able to access and fill it out. In those rare cases, you can set a Flow to private.
Related to this, every Flow has a few different status pages that you could possibly land on when you try to access a Flow, one of which is when you try to access a private Flow but you don't have the correct permissions to access it. (Others status pages include "Coming Soon", "Closed", "Unavailable", and "Sign-in Required".)
So let's explore how to set up a private Flow as well as adjust the various status pages each Flow can have.
To get started, click the Nucleus logo in the top left corner and select Flows or select Flows directly in the Nucleus Dashboard. Click here for a quick link.
In this guide, we'll cover the following topics. Click on any one to jump ahead.
A Refresher On Connection Types
First, let's break down the difference between public vs. private in the context of Nucleus and more specifically in this case, Nucleus Flows.
Public: Any person or robot on the internet can view, interact, save or screenshot all content.
Private: People must be signed into a Nucleus account to view and fill out the Flow. Additionally, that person (logged into their Nucleus account) must also have one of the allowed connection types (chosen below) set on their profile with your church.
Connection types are the various ways people can be associated with your church, denoting a specific relationship they have. By default, your Nucleus account has the following three Connection Types:
- Visitor
- Regular Attender
- Member
You can adjust the names of these and even add others.
Note: People cannot set or change their own connection type. This can only be set or changed on their profile by an authorized church admin.
If you're new to the idea of Connection Types, it might be wise to view our full guide to Understand Nucleus Web Privacy Options. But if you're looking for a quick refresher on Connection Types, we've got you covered.
While filling out any Flow, you have the option to sign in.
When you sign in, Nucleus will look at your person record associated with that church's people database and see what Connection Type is linked to your person record.
When a Flow is set to public, signing in helps pull profile data into the Flow to make it easier to complete various contact information for you. In this way, any person with any Connection Type can access a public Flow (even those who are not signed in).
But if that Flow is set to private, you will first be required to sign in to be able to access the Flow.
As you sign in, Nucleus will look at the person record associated with that church's people database and see if their Connection Type is allowed to access that Flow.
If it matches, congrats! You can fill out the Flow!
If it doesn't match, you will be barred from accessing the Flow
Connection Types power privacy controls for a wide array of features in Nucleus beyond just Flows. Click here to learn more about Connection Types, including how to add Connection Types to people records.
Set A Flow To Private
Setting a Flow to private is super easy. To begin, while in Nucleus Flows, click to Manage any Flow you've created.
While on the Create tab in the left sidebar, click Privacy Controls in the sub menu.
Then choose Only people in our church (Private).
By default, there are three Connection Types: Members, Regular Attenders, and Visitors. To add or remove Connection Types, click here to view your Church Settings.
Lastly, save your changes. If you're wanting those changes to be set live, also click Publish Changes.
Now, only those who sign into that Flow and who have a matching Connection Type on their person record will be able to access and fill out that Flow.
But what exactly will people see when they try to access this Flow? Let's take a look below.
Edit Your Flow's Status Pages
There are up to 5 different status pages that you can land on when you try to access a Flow:
Unavailable: This Flow has been archived, is not published, or there is another error/reason.
Coming Soon: This Flow has been published, but has an open date/time set in the future. (To learn more about setting limits on a Flow, click here.)
Closed: This Flow has reached a close date/time or submission count. (To learn more about setting limits on a Flow, click here.)
Sign-In Required: You must sign in to view this Flow.
Unauthorized: You don't have permission to view this Flow.
Note: Depending on the different settings you can adjust on a Flow, you might not ever see any of these status pages on it.
Each of these status pages are already created and set up with default messaging. So if you never customize these pages, don't worry. We've got you covered.
But if you want to adjust the language/wording used on each of these pages, you can easily do so.
While managing a Flow, click Status Pages in the left sidebar. Then click Customize on the status page you want to edit.
Every status page is laid out in the same way, so no matter which one you customize, you can edit the exact same items.
Feel free to adjust the headline and body text to your liking.
You can also adjust the primary action/button associated with the status page.
Below this, there is another section that provides additional information on the page.
If you want a secondary button/action, feel free to add one.
Below this, you can adjust any text and link/action in the footer of the status page.
Any changes you make to your status pages, make sure to save your changes at the bottom of your Dashboard.
Note: You don't need to publish these changes, so once you save them, the changes go live.
What Next?
If you weren't aware that every Flow you create has various status pages that someone might be able to land on, it might be good to go back and review your Flows to make sure the language used on those pages makes sense.
