Roll Out Nucleus To Your Congregation
You probably hear how important first impressions are all the time. And that's because they are! (We would know. We did an entire study on first impressions here.) And that can be a bit scary when you think of trying to roll out a new system or tool to your congregation. We totally get it.
The good news is you’re not alone and you don’t have to create this plan from scratch! We’ve done all the heavy lifting for you.
In fact, we have an entire roll-out strategy created for you here in this guide.
Use it as a template, adjust it for your specific context, and watch as more and more people take next steps and interact with brand new tools powered by Nucleus.

Review Your Launcher & Banners
Your very first step should be to ensure that your account is set up. You can do this by logging in and completing the Setup Checklist in the Next Steps area here. (If you don't see the Checklist listed in the top menu, then you've likely completed it already. But it's always good to review each section of your Next Steps just to be sure 😉)
Then, set up your Launcher the way that you want it to be when your congregation starts using it. (If you're not sure where to start, check out this step-by-step guide on setting up your first products.) Remember to review and test your Launcher.
- Are all actions added and linked properly?
- Are all logos, design, and customized text good to go?
Test that it's installed properly on your website.
Moving on, Banners can be used to display important information, such as weather updates, important events, or even point people to 'Connect With Us' by filling out a Smart Contact Flow to create an account. (You can read more about this here). You can find a step-by-step guide on how to set up a Banner here.
When testing your banners, one thing to note is that Banners are set to appear in certain circumstances, usually the first time someone lands on your website and then a specific number of days after, depending on how the person interacted with the Banner. With this being the case, you may want to use a private or incognito window to test, just to be sure that everything shows up as expected.
Feel free to install the Launcher and to have the Banner active before the official announcement/launch happens at your church. This allows you and your team have time to test it out, but also allows your church to become familiar with it whenever they next find themselves on your website.
Test Your Prayer Hub & Custom Flows
Your next step (not to be confused with Next Steps 😜) will be to make sure you have Nucleus Prayer set up. (You can follow the step-by-step guide here.) Once you have it added to your Launcher properly, go to your church's website and actually test out the Prayer Hub. Make sure that everything is working, and that you are familiar with how Prayer works so you can understand how to help church members submit prayer requests. To do this, we recommend sharing a test Prayer to each primary area: the Prayer Wall, as well as the Prayer Team; and if you're using the premium version of Prayer, a private inbox.
The same goes for Flows. Test each of your Flows to make sure submissions are going through correctly and that any custom text, custom messages, or follow-up sequences you created are showing up and sending properly.
Create A Flow To Promote People Creating Accounts
Now that you've tested everything, and your Next Steps Launcher is set up and ready to go, set up a Connect With Us Flow.
Creating this Flow will allow your church members to easily fill in their information and create an account. This allows church members the capacity to manage their Nucleus submissions, as well as keep their contact information up to date with your church.
Note: At the end of any Flow (custom flow, SmartFlow, or Access Request Flow in the PrayerHub, etc.), people will be prompted to enter their email and a password to create and account / sign in. This ensures everyone has the best experience. This way, Admins have their people database filled out and correct, and people create an account they can use to more easily pre-populate their information as they take next steps in the future. Having an account also allows them to gain access to see your church's prayers on your Prayer Wall, located in the Prayer Hub.
To create your "Connect With Us" Flow, login to your account. Access your Flows, and click the + Add New button.
Type in the name of the card. Then click Create Flow. Then click Manage
Next choose the S tart Your Flow From Scratch option, and click the Continue button beside it.
Now, you'll want to add to Steps:
- An Information Step. This is where you can explain who your church is and how filling out this Flow allows the person to keep their account and information up to date with your church.
- A Smart Contact Step. Smart Contact will require the person enter whichever contact information you toggle on before submitting the Flow as completed. (By default, name and email address will always be required, but you can toggle on a phone number and mailing address as well.)
Be sure you encourage people to add a password at the end of the Flow. Doing so will help people complete the process of creating their personal My Nucleus account. This ensures any submissions will show up accurately for both you in your Church Account and them in their My Nucleus account.
Once your Flow is created, remember to:
- Save all changes, and then Publish your Flow.
- Then, go to your Next Steps here. Click the + Add New button to add your Flow to your Launcher. Type in the name, and choose the Nucleus Flows option.
- Save to create the item in your Launcher. Then, click the Manage button beside your new Launcher item. This will allow you to select your "Connect With Us" Flow as the one that will appear when someone clicks this item in your Launcher.
And remember to scroll to the bottom of the page to save your Flow selection 😊
If you don't want to create a "Connect With Us" Flow (or you're not subscribed to Nucleus Flows), another great option for encouraging people to create their own My Nucleus accounts is by having them request access to the Prayer Wall. These requests require the person to submit their information (name and email), which creates an account so they can later login and view your church's Prayer Wall.
Confirm All Admins Are Invited & Assigned
Now that you have Flows set up ready to be sent out or announced to your congregation, you'll want to ensure you have the admin permissions set up correctly for your staff and volunteers to access areas of your Nucleus account as needed and appropriate.

Develop Your Communication Strategy (& Make It Fun!)
Communicating clearly (and in a friendly manner!) with your church will be crucial for them to successfully adopt using a new system. Again, not only is this beneficial for them, but also for you to grow your People database, regardless of whether you’re using Nucleus People + Messages or not.
Because adopting a new system and embracing change can be daunting, make it into a fun experience for your church! We suggest creating some sort of contest that incentivizes people to interact with your Next Steps Launcher and to create a personal My Nucleus account.
How would people enter the contest? Simply by creating their personal My Nucleus account. They can do this through the ways discussed above here. If, by the end of the deadline, their name is found in your People database, then they’ll be entered into a draw to win the contest!
Step 1: Think of a prize that will appeal to the majority of your congregation.
This could be a gift card to a local business or favorite restaurant in your area. Or this could also be a fun physical gift. Just be sure that whatever it is, it’s desirable enough to prompt action.
Also, whatever the prize is, be sure you have the means to mail it, as some people might enter who don’t physically attend your church.
Step 2: Create a deadline for people to enter.
Obviously you can’t expect everyone to hop on board right away. Neither can you continue announcing the contest till Kingdom come.
Below, we have email templates along with an in-person announcement script you can use over the course of 3 weeks, so that by the fourth week, you can announce the winner.
Step 3: Communicate with your church.
- Introduce Nucleus to your church.
- Announce the contest (how to enter, what the prize is, what the deadline is, etc.)
- Continue promoting Nucleus and the contest until the deadline.
- Announce the winner.
At the end of the day, as long as you have a plan, communicate clearly, and make it fun, rolling out Nucleus to your church should be a success!
Write & Plan Your Email Sequence
Once you’ve decided on a prize, you can begin announcing the contest and introducing Nucleus to your church through emails.
Below are email templates you can use for Week 1, Week 2, and Week 3, with Week 4 being when you announce the winner. Feel free to copy the script and make some minor adjustments where necessary.
Week 1: Introducing Nucleus, Our New Online Church System! 🎉

And it works even better when you have your own My Nucleus account because you can add your own profile details, save payment methods, and see your past submissions (and giving history!).
First: You’ll want to create your account. The best way to do that is to request access to view our church’s digital Prayer Wall.

Now, those were all the scripts for the emails. How you send them is totally up to you! But we’ll take you through a walkthrough of how to easily set up an Email Campaign with Nucleus People + Messages. Let’s dive in.
Note: Regardless of whether you're going to use Nucleus People + Messages to send your email sequence out, be sure that your Launcher is installed correctly on your website before sending out your emails. (You can find the steps for how to do this here.)
To begin, login to your Nucleus account. Go to People and then select the Messages tab. (Here's a quick link.)
Next, click the + Add New button to create your email campaign, and enter in the campaign name.
You'll automatically be redirected to a page letting you know that you haven't setup an audience for this campaign yet. Click the Begin Setup button.
Since you're just getting started with Nucleus People, you likely won't have many accounts/profiles in your Church account to automatically create an audience for you (via the Fixed or Dynamic Audiences). Instead, choose the Manual Audience option. Then scroll down and click Save.
When you're redirected, you'll be presented with the option to add subscribers. Click the + Add Now button.
Here, you'll be presented with the option to either add the email addresses for your church members individually, or in bulk. The bulk option will allow you to copy-and-paste a fullest of names and emails into the provided box.
Note: If you have a spreadsheet with a list of names and email addresses, you can copy that data over into your Subscribers.
Now that you've create the audience for your email campaign, click on Emails in the left sidebar. You'll be taken to the Send & Schedule option for emails. This is exactly what you want. So now, click the + Add New button.
Enter in the name for your first email in the sequence and save.
Now you'll be presented the page where you can create your first email. Go ahead and enter the email Subject. Then copy and paste the email copy into the available text box.
Note: Remember to read through the email and correct any formatting that didn't transfer correctly, as well as adjust links, names, etc. to match your church.
Note: Our system is designed to automatically enter people's names for you. To set this up, after "Hey" at the beginning of your email highlight the "{{ firstName | there }}" then click the Insert Smart Data option. The icon will look like this: {...} This will allow you to choose to have our system autofill the person's name when the email sends to them. Remember to fill in a fallback in lieu of a name, such as "there", so that anyone who didn't have a name connected to their email will still see a full greeting.
Next, scroll down and schedule your email to be sent out the week you will be introducing Nucleus to your congregation (i.e when the contest begins). At this point, you'll be prompted to Start the Campaign. Go ahead and do that so that the emails will automatically send when their send dates come up.
And that completes your first email! 🎉 Repeat this process for the other 3 emails by clicking on Emails in the left side bar.
Announce It In Person & On Social Media
Continuing with the idea of creating a contest alongside the rollout of Nucleus to your congregation, it’s helpful to also campaign and announce Nucleus to your church in person / in service as well, not just with emails.
If you want to go above and beyond, it’s always helpful to walk your congregation through the process in person. Alongside announcing Nucleus to your church, you can have everyone take out their phones right there and create their account as you guide them from the stage. This not only shows how quick and easy it is to create an account, but also helps to increase the number of people who enter your contest, benefiting both admins and congregants alike.
Below is a pre-written script that you can share from the stage when introducing Nucleus to your church. Feel free to rework it as needed.
Along with your email campaign and promoting it in person, we also recommend adding an announcement in your church bulletin, adding a QR code on your physical Connect Card that takes people straight to your I’m New Flow (or to your Launcher in general), and promoting it on any other print materials that make sense for your church context.
QR codes can be created online using a QR generator. Use Google to search for a QR code generator and use one of the top ranked ones.
Additionally, if you have a social media presence, create posts promoting the Next Steps Launcher, showcasing specific next steps your church can take. You can even add the Launcher as a link-in-bio! Click here to view your link-in-bio URL.
In-Person Announcement

Creating an account is super easy. In fact, let’s all take our phones out right now and check it out together.
Simply open your device’s browser and go to hopechurch.xyz (remember to change this to your web address). Once there, click the purple button in the bottom corner to open the Next Steps Launcher. I’d love to showcase all the amazing next steps you can take right here within the Launcher, but let’s focus on getting you all entered into the contest.
Select Pray With Us. Here, you can submit a prayer request, but to enter the contest, select View Prayer Wall. Next, enter your email address and create a password.
And just like that, if you entered your email and created a password, you’ve entered the contest! You might receive a couple of emails from Nucleus with some instructions about your account, so be on the lookout for that in the coming days.
We’re thrilled to see what kind of next steps everyone takes through the Next Steps Launcher on our website.
Oh, and one more thing! The contest ends on September 18th, so if you didn’t enter your email or password, you have until then to do so. September 18th is also the day we’ll be announcing the winner, so be sure to show up to church that day!”
Note: The promotion framework we’ve outlined with the emails and announcements above is what's known as a Sprint Promotion. Sprint Promotions are infrequent promo campaigns that your church runs with express purpose of driving action. These aren’t the kind of campaigns you’ll want to run more than a few times per year - but for the most important things (like introducing your new online system to your church), we recommend going all-out to drive as much action as possible in a short period of time.
