Access & Download My Annual Giving Statements

If it's nearing the end the year, or the new year has already started, you might be anxiously awaiting for your annual giving statement for tax purposes. (Or if you're like most people, maybe you're dragging your feet to file your taxes 😅)

Either way, if you've donated to your church using their GivingFlow - specifically donated to funds that are slated as tax deductible - then your church has the ability to issue a giving statement with records of all your donations for the previous year that are tax deductible.

Let's explore how to access yours, and possible reasons why you might be unable to just yet.

To begin, login to your personal Nucleus account at https://my.nucleus.church.

In this guide, we'll cover the following topics. Click on any one to jump ahead.

Access, Download & Print My Giving Statement

Finding your annual giving statement(s) is super easy. Once logged into https://my.nucleus.church, click My Giving. Then select StatementsClick here for a quick link.

Here, you'll see a list of any potential annual giving statements, with the year and name of the church you donated to distinctly listed.

Under the Status column, your statement will either be Available or Unavailable.

If you see "Unavailable", click here to scroll down to reasons why you may be unable to currently access your giving statement.

Otherwise, click to View your statement that says "Available".

Here, you can review your statement to ensure all your donations are accounted for. If you notice that some donations are missing, click here [anchor link] to scroll down to reasons for this and how to locate your missing donation records.

It's also good practice to review your personal information is accurate as well.

Once you've confirmed your statement is accurate, you can click Print. This will open options on your device to find a printer and print your statement. Most devices will also provide the option to download your statement as a PDF instead of printing it, so you can store your giving statement for your digital records.

You might be curious why the "covered fee" is included on your giving statement. Click here to scroll down and learn more.

Why Can't I Access My Giving Statement?

If you see that your giving statement says "Unavailable", there are a number of possible reasons for this, some of which you can rectify right now! Let's take a look at these potential reasons:

Your email address is unverified.

If you entered an email address in your church's GivingFlow, but you haven't yet verified your email address in our system, not only will certain transaction records likely not be correctly linked with your personal Nucleus account (this is especially typical of recurring/scheduled donations), but you will not be able to access your annual giving statement.

You can quickly check to see if your email address is verified by clicking the Nucleus logo in the top left and selecting My Account. From there, select Contact Info in the submenu.

Here, you should be able to see if your email address is verified or not.

If your email address is unverified, please read over this visual guide before you click the button to resend the email to yourself to make sure the verification email actually lands in your inbox.

Once you've verified your email address, check back to see if you can access your giving statement.

You have missing personal information in your profile.

Certain pieces of your own personal information are required by law to appear on your giving statement for it to be acceptable by the IRS (or CRA if you're in Canada). If you haven't yet completed your personal information in your profile, this will prevent you from accessing your annual giving statement.

To quickly check if you've done this, click the Nucleus logo in the top left corner and choose My Account. Then select Personal Info in the submenu.

Here, you can add details about your name, gender, birthdate and age, marital status, anniversary date, and how many years you've been married. (You can also upload a profile image if you'd like! But it's not needed for your tax statement.)

The only information that's required for your giving statement for tax purposes is your name. (In Canada, your middle name - or at least your middle initial - is also required.)

Make sure to save any changes you make here before moving on.

Next, while it may not be required information based on where you reside, it's always good to ensure you have a phone number and physical address in your profile details. Not only will this ensure you have all the required personal pieces of information on your giving statement, but you won't see any places that are left blank where those pieces of information are supposed to display. [screenshot of just a name appearing on a giving statement to show it looks awkward if left blank]

To do this, click Contact Info in the submenu. Here, you can easily add and label a phone number.

And add and label a physical address.

Make sure to save your changes.

Once you've added any missing profile details, check back to see if you can access your giving statement.

Your church has yet to release giving statements.

Every year, your church is responsible for providing all donors with an official giving statement with accurate records of all your tax deductible donations to your church.

But when your church decides to do this is up to whomever is responsible for delivering giving statements at your church.

Some admins are on the ball and make sure that giving statements are available within the first few weeks of the new year.

Other admins are a bit behind and don't get around to it until later on.

If your email address is verified and all your profile information is added to your account, but your giving statement is still unavailable, your church has likely not yet released giving statements to their donors.

In this case, we recommend reaching out to your church directly to inquire when they plan on releasing statements.

Your church is delivering your giving statement outside of your Nucleus account.

Every year, your church is responsible for providing all donors with an official giving statement with accurate records of all your tax deductible donations to your church.

But how your church decides to do this is up to your church's policies (and perhaps up to whomever is responsible for delivering giving statements at your church).

While we recommend that churches who use Nucleus Giving should also use our system to make annual giving statements accessible in each donor's personal Nucleus account, they may wish to deliver your statement a different way:

  • Printing and providing a physical copy for you (either in person at church or mailing it to you).
  • Downloading a PDF and emailing it to you.

If you're unsure of how your church intends on making your giving statement available to you, we recommend reaching out to your church directly to inquire about this.

I'm Missing Donations On My Statement

While reviewing your annual giving statement, if you notice that there are missing donations, don't be alarmed! There's a way to locate and connect any missing donations to your personal Nucleus account using the Receipt Lookup Tool.

We have an entire visual guide on how to utilize this tool, along with reasons why you might be missing donations. Click here to view that guide.

What Is Actually Tax Deductible?

You might notice that your annual giving statement showcases three columns of money:

  • Amount
  • Covered Fee
  • Total

The reason we showcase all three is for full transparency of what you donated through your church's GivingFlow (even though the funds under "Amount" is the actual amount that your church received). But there is also another reason.

While Nucleus provide official tax advice, our perspective is that, just like when someone gives to an organization and decides not to cover the processing fees, and that entire gift is tax deductible, we consider the combined amount of both the gift and processing fees as tax deductible as well.

Tax deductibility isn't defined by how an organization chooses to use the donation, but rather based on the gift as a whole and who receives it. Since Nucleus automatically calculates the processing fees into the full amount that you (the donor) gives to the church, you essentially give the organization a specific amount that will be used specifically for covering processing fees.

In this way, Nucleus leaves it up to the donor to decide between themselves, their conscience, and God if they want to consider the processing fees as part of their donation or not for the total amount to claim on their taxes.

What Is The Cutoff Date/Time For End-Of-Year Giving?

If you're racing against the clock and it's almost the new year, you might still want to make one last donation to your church.

Nucleus allows for all donations given right up until 11:59:59pm your local time on December 31st to be associated with your giving statement for that year. (e.g. If you complete your donation by 11:59:59pm on December 31st 2024, that donation will appear on your 2024 giving statement.)

The time that the donation actually lands in your church's bank account (or even leaves your own bank account or credit card) doesn't determine whether a donation appears on the previous year's statement or not. It specifically linked with the time/date when you complete your donation in your church's GivingFlow. This means you must click the "Give Now" button at the end of the GivingFlow by 11:59:59pm local time on December 31st, not just halfway through the GivingFlow.
